This position will assist the General Counsel with the day-to-day administration of the legal, risk management, and purchasing departments. This position will ensure all contractors and vendors of the Authority maintain proper evidence of insurance throughout the contract period, including subcontractors’ insurance for all cellular lease agreements. This will include data entry into the risk management information system (RMIS). This position will also respond to freedom of information and subpoena requests.
Essential (Primary) Duties and Responsibilities:
- Assists with operations of the legal, risk, and purchasing departments.
- Maintains workflow assignments for General Counsel as well as manage Authority and labor calendar and records.
- Handles confidential information.
- Organizes meetings, take accompanying notes, and files documents.
- Prepares files and records for litigation, discovery, grievances, and arbitrations.
- Review new contract requirements against the insurance certificates provided; correct any discrepancies as needed.
- Input and track contractors’ and vendors’ insurance coverage in SCWA’s SAP software system.
- Monitor insurance of existing contracts.
- Communicate with members of the purchasing department, contractors and brokers, as well as SCWA staff members from other departments.
- Processes invoices for payment.
- Provides coverage for front desk reception.
- All other duties as assigned.
Qualifications:
- High school diploma required; bachelor’s degree preferred.
- 1-2 years’ experience working in general insurance required; 2-5 years’ experience with claims administration preferred.
- Notary Public license required.
- Demonstrated administrative skills.
- Ability to function with a high degree of confidentiality.
- Ability to multi-task and prioritize work assignments.
- Proficiency in written and verbal communications and various computer programs is essential.
- Ability to manage and prioritize a variety of tasks.
Applicant’s typical work schedule will be Monday - Friday 8:30 a.m. – 5:00 p.m. Salary for this position will be commensurate with education and experience within a range of $65-75k.
