The Suffolk County Water Authority is seeking a motivated and detail-oriented Executive Assistant to work with our Chief Executive Officer and Board Members. The successful applicant will provide a high level of confidential assistance including transcribing minutes for Board and Committee meetings and overseeing the administrative function of the Office of the CEO.

Description:

 

Duties and Responsibilities:

  • Oversee the administrative function of the Office of the CEO including screening phone calls, managing calendars, scheduling meetings, travel, and conferences.
  • Record and transcribe minutes of meetings of the Board and the Audit, Finance and Governance Committee meetings.
  • Organize and disseminate the Authority’s monthly Board Meeting agenda and supporting documents to staff and Members as directed via hardcopy and electronic copy.
  • Oversee standard office functions such as petty cash, vacation schedules, drafting and submitting invoices and expenditures, and maintaining an inventory of office supplies.
  • Oversee the receptionist and schedule reception area coverage.
  • Design and manage social media graphics and postings.
  • Participate in and assist with organizing press events.

 

Qualifications:

  • 5 years’ experience minimum of administrative/executive assistance experience required.
  • Associates degree in office administration, business or related field required.
  • Expert proofreading and letter composition abilities with meticulous attention to detail.
  • Working knowledge of the Suffolk County Water Authority, local, state and federal elected officials and government operations.
  • Proficient in MS Office Suite including Word, Outlook, PowerPoint and Excel.
  • Ability to set up and administer meetings via teleconferencing using Go-To meetings, Teams and Zoom and updating the SCWA website as needed.
  • Outstanding communication skills, both verbal and written.
  • Must work well with all levels within the Authority and maintain a high level of confidentiality.
